EZHCRM Account FAQs. Use this guide to set up your EZHCRM account, add your organization, your service provider etc.

How to register with EZHCRM

There are two ways to register for an account on EZHCRM. 

  1. You register yourself
  2. You are invited by your team mate (someone that works in the same organization as you do) or a business partner (referring office, surgery partner office etc)

To register for a new account, follow the steps below.

Click on the register button / link (Need an account? Sign up!). You will be on the sign up page.

Here you enter your details. For username, you can select any username that is not currently registered in the system. You can also use your email address as your username. We ask for your phone number to send you account security information if we notice unauthorized login (i.e. someone trying to hack your account).

Once you click on the REGISTER button, we send you an email to the email address you registered with. Once you click on “Verify Email” link in this email, your account will be verified and you can login. If you haven’t received your account verification email in 15 mins, please check your spam folder as well.

If you are facing any problems in registration, you can contact our support team.

How to accept an invitation from EZHCRM 

When you are invited by your team mate (someone that works in the same organization as you do) or a business partner (referring office, surgery partner office etc), you receive an email like below. If you have not received this email, please contact our support team.

After you click on the link in this email, you will see the following page. Your name will be pre-filled because the person that invited you had already filled in these details.

As above, you can select your username and password on this screen, then hit register.

If you were invited by your team mate, you do not have to go through an organization, provider, patient set up.

If you were invited by a person that is your business partner (i.e they selected “Invite as partner team”), you will be taken to the organization set up screen next.

How to login to ezhcrm

Any time you register, we send a verification email to the email address you shared with us. After verifying your email, you can login with the username/password you had selected.

Reset your password

We all forget passwords from time to time. No wait – we forget passwords ALL the time 🙂

Whether you are on the login screen or the signup screen, you can reset your password by clicking on Forgot password.

This takes you to the password reset screen where you can get a reset password email to the email address you registered with.

Once you get the reset password email at your email address, click on the link in this email and choose a new password that no one will guess.

How to set up your ezhcrm account

Upon signing up for the first time, you are required to set up your account. This includes adding

  • Your organization (please have your organization NPI ready to go)
  • At least one provider (please have your provider NPI ready to go)
  • At least one patient (the system is of no use unless you have at least one patient)

Adding your practice 

After you login for the first time, you are taken to this web page where you add your organization. Unless you do so, most menu items will have a lock button turned ON and you will not be able to access most of the website.

To add an organization, simply enter the organization NPI number. We pre-fill the rest of the information as is listed on CMS NPPES directory. You do not have to type in anything. You can, of course, overwrite any of these details.

You can select Medical Practice or Surgery Center in the organization type dropdown based on what your organization’s primary classification is.

On this screen, you can ignore the virtual number as we will provide you a virtual phone number, a virtual fax number and a virtual SMS enabled phone number (yes, you do want to keep them separate).

Adding the first provider

After you login for the first time, you are taken to this web page where you add your organization. After adding an organization, you are required to add at least one provider that works at this organization (even if they work part time). Unless you do so, most menu items will have a lock button turned ON and you will not be able to access most of the website.

To add a provider, simply enter the provider NPI number. We pre-fill the rest of the information as is listed on CMS NPPES directory. You do not have to type in anything. You can, of course, overwrite any of these details.

Adding the first patient

After you add your organization and a provider, please add your first patient. This allows you to finally be able to use the system – EZHCRM.

For this, select salutation, gender, race, marital status, ethnicity from the respective drop down options. These options match the HL7 standards and hence are recognized world-wide.

You can validate a phone number after you enter the same as well. You don’t have to validate a number, but it is better for you if you do so because you can set up reminder calls or text messages, send SMS or voicemails to the patient numbers.

After setting up your organization, provider and first patient, you are ready to use EZHCRM.

How to edit your ezhcrm profile 

To edit your profile simply click on the top right hand side gear icon, then click on profile menu item.

Username 

Be careful about changing your username. In case you forget it, you will have to go through a reset process.

Email

If you update your email address here, it is not changed in EZHCRM unless you verify the new email address. When you update your email address, we send you a verification email to the new email address. We also send a notification email to the email address that you are changing. This way, your account security is maintained at the highest levels.

Phone

You can add one or more phone numbers to your account. You can have a work phone number (landline) or a cell phone number here. You can also get EZHCRM provided VOIP phone numbers to avoid sharing your personal contact details with other users of the system.
